The problem
Your business information should not be trapped in filing cabinets.
Paper does not just take up space. It quietly sets the speed limit on everything around it: how fast you answer a regulator, how long an audit runs, whether someone working remotely can do their job at all.
- Retrieval takes hours, sometimes days
- Storage and off-site box fees keep climbing
- Paper degrades, fades and gets damaged
- Nobody can reach a file from outside the office
- Audit preparation stalls on missing documents
- The same data is re-keyed by hand, repeatedly
- Duplicate copies drift out of sync
- Every department files things differently
- There is no record of who accessed what
- Paper records cannot join a digital workflow

Before and after
The same archive, two very different working days.
Digitization is not really about the paper. It is about what your team can do once the information stops being physical.
Finding a document
Someone walks to the records room and searches by hand
Storage
Shelving, off-site boxes and a recurring monthly cost
Access
One physical copy, available to whoever is in the building
Structure
Each department files in its own way
Audit response
Days of retrieval before the audit can even begin
Business continuity
Fire, flood or damp means permanent loss
Workflows
Paper stops at the edge of every digital process
The process
Ten steps from a records room to a working digital archive.
Select any step to see what happens in it.
We look at what you actually hold: volumes, document types, condition, how records are currently filed and what has to stay retrievable during the project. This is what a real quotation is built from, and it is the step most often skipped.
What we digitize
If it is on paper, it can usually be made searchable.
A sample of the record types we handle. Try filtering it. This is roughly what your own archive feels like once it is indexed.

Industries
Every sector generates paper. No two generate the same paper.
A hospital’s mixed-media patient chart, a contractor’s as-built drawing set and a bank’s account-opening file need genuinely different handling.
Government & Public Sector
Archive digitization, indexing and records governance for federal ministries, emirate-level departments and municipalities.
Banking & Financial Services
Account, KYC, credit and trade finance file digitization indexed to core banking references, built for audit-speed retrieval.
Healthcare & Insurance
Chart, report and claim file digitization for hospitals, clinics and insurers, filed into the EMR by section rather than dumped as one PDF.
Legal Firms
Matter archives, hearing bundles and safe custody documents digitised to deadline, with item-level custody and privilege-specific undertakings.
Education & Universities
Academic files, transcripts, exam material and faculty credential records digitised and indexed for verification, accreditation and SIS migration.
Real Estate & Property
Unit-indexed digitization of deeds, sale files, tenancy contracts, handover packs and association records for developers, brokerages and property managers.
Construction & Infrastructure
Large-format drawing capture, submittal and RFI digitization, and handover dossier assembly for contractors, consultants and developers.
Engineering
Title-block indexed conversion of drawing registers, calculations and vendor data, including obsolete microform, for consultancies and asset owners.
Manufacturing & Industrial
Traceability-led digitization of production, quality, maintenance and supplier records, indexed to batch, asset and supplier references.
Logistics & Transportation
Daily capture of delivery, freight and customs documentation indexed to the consignment, plus fleet and driver file digitization.
Hospitality
Registration records, folios, procurement, licensing, food safety and HR file digitization for hotels, resorts and F&B operators.
Human Resources
Employee file digitization with document-level classification, so HR, payroll, PRO and line managers each see only what their role requires.
Media, Libraries & Archives
Non-destructive capture of bound, fragile and obsolete-format collections, producing preservation masters, access copies and descriptive metadata.

Security and confidentiality
Your records are someone else’s obligation while we hold them.
Most archives contain something that would be damaging to lose or to leak: personnel files, patient records, contracts, deeds. The controls below are how a project is actually run, not a list of badges.
Discuss Your Security Requirements- Named, briefed project teams under individual confidentiality agreements
- Chain of custody recorded at box and file level, from collection to return
- Project-level access controls, so people see only their own engagement
- On-site scanning available where records cannot leave your premises
- Encrypted transfer and access-logged delivery
- A documented quality and verification trail for every batch
- Agreed retention and disposal handling at the end of a project
Beyond scanning
A scan is an image. Intelligence is knowing what is on it.
These terms get used interchangeably by suppliers, and they should not be. Each one describes a different amount of work and buys you a different amount of automation.
Illustrative only. All names, references and values shown are fictitious.
- 1
Scanning
Produces an image. The page is now a picture of a document, and nothing in it is text yet.
- 2
OCR
Turns the picture into characters, so the document becomes searchable.
- 3
ICR
Reads hand-printed entries, typically from forms with defined fields.
- 4
Data extraction
Pulls specific values out, such as an invoice number, a date or a total, rather than the whole page.
- 5
Classification
Decides what each document actually is, so it can be filed without a human sorting it.
- 6
Intelligent document processing
Combines those steps, validates the result and sends anything uncertain to a review queue.
- 7
Workflow automation
Hands the finished, checked data to the system that acts on it.
Outcomes
What changes once the archive is digital.
Find documents in seconds
Retrieval stops being a walk to the records room.
Reduce physical storage
Shelving and off-site box costs stop growing with the archive.
Work from anywhere
Records reach the people who need them, wherever they are.
Move faster through audits
Requested files are produced without a retrieval scramble.
Cut repetitive data entry
Values are captured once, not re-keyed by every department.
Keep information consistent
One indexed copy replaces several drifting duplicates.
Protect irreplaceable records
Fragile and historical material survives beyond the paper.
Connect records to workflow
Documents feed approvals, ERP and case systems directly.
Build an archive that scales
Adding next year's records does not mean adding shelving.

Parent company
Powered by Athena Global Technologies
Document Digitization Services is the specialist digitization arm of Athena Global Technologies LLC, an enterprise information management firm headquartered in the UAE with delivery operations in India. The wider group works across enterprise content management, records governance, intelligent automation and secure digital transformation for enterprise, government and regulated clients.
That matters here for a practical reason: a digitization project rarely ends at delivery. The archive has to live inside a real system, under a real retention policy, and stay usable after the scanning stops.

OCR: how a picture of a page becomes text
The OCR pipeline explained for a business reader: what each stage does, the specific conditions that break it, how ICR and IDP differ, and the Arabic and English question every UAE archive raises.

Should the scanning happen in your building or ours?
A decision-support comparison: the trade-offs across cost, speed, security and disruption, what on-site work really demands from your facilities team, and the hybrid split that usually wins.

How many boxes, files or pages do you need to digitize?
You do not need an exact number. A rough estimate and a description of what the records are is enough for us to come back with a scoped approach and a written quotation.
Common questions
What does document digitization actually involve?
Digitization covers preparing physical records, capturing them as images, applying text recognition so they become searchable, indexing them against agreed fields, verifying quality, and delivering the result into a repository or document management system. Scanning is one step within that; on its own it produces images rather than usable information.
Do our documents have to leave our offices?
No. Where records are sensitive, actively in use or restricted by policy, we set up scanning inside your premises so nothing leaves the building. Where that is not necessary, off-site processing at a controlled facility is usually faster and more economical. Many projects use both, split by record type.
How much does a digitization project cost?
Cost is driven by page volume, document condition, how much preparation is needed, indexing depth, whether OCR or field extraction is required, and where the work happens. Because those vary enormously between archives, we quote after an assessment rather than publishing a per-page rate that would mislead you.
Can you handle Arabic and English records?
Yes. Mixed Arabic and English archives are normal in the UAE, and both scripts are handled, including bilingual index fields. Arabic text recognition is harder than Latin script, particularly on handwriting and poor originals, so we test a representative sample before committing to an approach.
Which areas of the UAE do you cover?
We work with organisations across Dubai, Abu Dhabi, Sharjah, Ajman, Ras Al Khaimah, Fujairah and Umm Al Quwain, and support projects in the wider GCC. We have offices in Dubai and Abu Dhabi; the other emirates are service areas covered by scheduled collection or on-site teams.
What happens to the paper after scanning?
That is your decision and it depends on the record class. Some documents must be retained in original form regardless of digitization, so we never destroy anything on our own initiative. Options include return to you, continued storage, or witnessed secure destruction with a certificate once you have confirmed it is permitted.
