Document scanning services in the UAE cover more ground than the word scanning suggests. A scan on its own is a photograph of a page. What decides whether that page is useful a year later is the text layer sitting behind the image, the index values attached to it, and the system it is delivered into. Get those three right and a record that used to mean a walk to the store room becomes a search box. Get them wrong and you have traded a filing cabinet for a folder of unnamed PDFs.
What a digitized record actually contains
- A page image captured at a resolution and colour mode suited to the source, rather than one house setting applied to everything in the box.
- A searchable text layer produced by OCR, so the words printed on the page can be found by searching for them.
- Index fields: the handful of values people genuinely search by, such as contract number, employee ID, trade licence number, claim reference or plot number.
- A folder structure and file naming convention that matches how your team asks for documents, not how the boxes happened to be stacked.
- A destination. SharePoint, an EDMS, a cloud repository, or encrypted media if the set is going into cold storage.
OCR deserves a plain explanation, because it is where expectations usually break. Optical character recognition reads the shapes on a scanned image and turns them into machine-readable text. It does well on clean printed matter and considerably worse on faint carbon copies, handwriting in the margin and stamps sitting across type. ICR extends the same idea to hand-printed characters. Recognition quality tracks the quality of the paper you hand over.

Assessment and planning
We look at a sample of the real records rather than a description of them. Volume, condition, page sizes, fastener types, the existing file structure and the destination system all change the plan, and all of them are cheaper to discover now.

Preparation and sorting
Staples and clips come out, torn sheets are repaired, folded corners are flattened, and separator sheets go in wherever a new document begins. Preparation is the slowest stage of most projects and the one most often underestimated.

Scanning and image capture
Batches are captured on equipment matched to the material, with settings decided per batch. A run of clean printed invoices and a run of faded thermal receipts do not want the same treatment.

Quality verification
Images are checked back against the physical batch for missing pages, skew, over-cropping, legibility and orientation. Anything that fails is rescanned before the batch is allowed to move on.

Index values are captured and applied so records come back by the fields your team actually uses. This is the stage that decides whether the archive is searchable or merely digital.

What drives the price and the timeline
No one can quote a scanning project from a phone call. Any figure offered before someone has seen the records is a guess wearing a quote's clothing. The variables that move it:
- Volume measured in pages, not boxes or shelf metres.
- Condition, and therefore how much preparation each file needs before it can be captured.
- The mix of page sizes and colour modes, and whether anything is oversized or bound.
- How many index fields are captured per document, and whether they come from the page or from an existing register.
- Whether OCR is applied to everything or only to the series where full-text search earns its keep.
- On-site or off-site working, and the collection logistics that follow.
- The destination system and how much preparation the load file needs.
Arabic and English records
Most UAE record sets are mixed. A single HR file can hold an English employment contract, an Arabic labour card and a stamped Arabic attestation. Both languages are handled, and mixed-language documents are treated as mixed rather than forced through one recognition pass. Where a document is handwritten Arabic, expect a reliable image and searchable text that needs a human eye before anyone relies on it. We would rather say that at the assessment than have you find it at handover.
Security from collection to handover
Records are handled under NDA, by named staff, with access limited to the people assigned to your project. Delivery is encrypted and carries an audit trail showing who took what and when. Processes are aligned to ISO information-security practice, which is a statement about how the work is run, not a certificate being waved at you. Conditions your own security team imposes are easier to build into the plan at the assessment than to retrofit halfway through.
Frequently asked questions
What is the difference between document scanning and document digitization?
Scanning is the capture step: turning a physical page into an image. Digitization is the whole conversion, including preparation, OCR, index and metadata capture, quality checks and delivery into a system where the record can be found and governed. A project that stops at scanning produces images. A project that finishes digitization produces records you can retrieve.
How long does a document scanning project take?
It depends on page volume, document condition, how much preparation the files need, the number of index fields captured and whether work runs on-site or off-site. Rather than quote a figure that would not survive contact with your records, we assess a representative sample first, then commit to a schedule built on the measured page count and preparation effort.
Do our original documents get destroyed after scanning?
Only if you instruct it in writing, and only after you have accepted the digital output. The default is that originals go back to you in the containers they arrived in, reconciled against the collection manifest. Where you do want disposal, it happens as a documented step with a destruction record, never as a routine end-of-project tidy-up.
Are scanned documents acceptable as records in the UAE?
That depends on your regulator, your sector and your own retention policy, and it is a question for your legal or compliance team rather than your scanning supplier. What we can do is capture to the image quality, audit trail and retention structure your policy calls for, and flag the categories where your rules may still require the paper original to be kept.
Will the scanned files work with SharePoint or our existing DMS?
Yes. Output is prepared for the destination system: agreed file formats, folder structure, naming convention and an index or load file in the layout the system expects. The destination is settled during assessment, because it decides the index fields and file structure. Retro-fitting a different system after capture means reprocessing rather than a simple copy.
Can you scan Arabic documents?
Yes, and mixed Arabic and English files are common in UAE record sets. Printed Arabic produces usable searchable text. Handwritten Arabic, faded stamps and script written across a form produce a reliable image but text that should be reviewed before anyone relies on it for retrieval. Where that applies, the index fields are captured by hand instead.
