Every other page on this site is about records that exist in quantity and are valued for what they prove. A heritage collection is the opposite: items that exist once, valued for what they are. That inverts almost every assumption behind commercial scanning. Throughput stops being the measure of a good day, and the question shifts from how fast to how safely, and to what standard.
Two outputs, not one
Preservation digitization produces a master file captured at the highest quality the item and the equipment support, held uncompressed or losslessly, intended to outlive the equipment that made it. From that master come access derivatives: smaller, compressed, delivered to readers over a network. Institutions that produce only a web-sized JPEG will be doing the whole exercise again in fifteen years, and the item will be fifteen years more fragile when they do.

Description is the larger half of the work
A digitised collection with no description is a hard drive. What makes it a resource is metadata: who created the item, when, what it is, what it relates to, and how it sits within the collection's own hierarchy. That work takes longer than capture, needs people who understand the material, and should follow whatever standard the institution already catalogues to rather than an arrangement invented for the project. Where a collection includes Arabic material, description usually needs to exist in both languages to be genuinely usable.
Finding aids and accession registers are worth capturing early for the same reason. They describe the rest of the collection, so digitising them first gives the project a map and gives readers something searchable before the main sequence is complete.
Working on site, which is often the only option
Many institutions will not permit a heritage item to leave the building, and that position rarely needs defending. Capture equipment goes to the collection instead: cradle scanners, copy stands, controlled lighting, and a working area with the environmental conditions the material needs. It is slower to mobilise and it removes the largest single risk in the project, which is transport.
Obsolete media will not wait
Paper is patient. Magnetic tape is not. Cassettes, reel to reel audio and older video formats degrade on the shelf regardless of handling, and the population of working playback machines shrinks every year along with the number of engineers who can maintain them. When a collection contains both paper and tape, the tape should usually be scheduled first even though the paper is more visible and easier to justify. The paper will still be there afterwards.
Frequently asked questions
Can bound volumes be digitised without unbinding them?
Yes, and for heritage material it is the only acceptable method. Volumes are captured on an overhead cradle that supports the spine at a limited opening angle, with no pressure applied to flatten pages. Nothing is cut, unstitched or trimmed. Capture is considerably slower per page than feeder scanning, and any estimate that ignores that difference is unreliable.
What is the difference between a preservation master and an access copy?
The master is captured at the highest quality the item and the equipment support, stored uncompressed or losslessly, and intended to outlive the equipment that produced it. Access copies are derived from it: compressed, smaller, and delivered to readers. Producing only an access copy means repeating the whole exercise later, on material that will be more fragile by then.
Can obsolete video and audio formats be transferred?
Formats such as cassette, reel to reel, U-matic, Betacam and VHS can be transferred where working playback equipment is available, with the transfer captured to a preservation master. Magnetic media degrades on the shelf and playback equipment is becoming scarce, so this work should normally be scheduled ahead of paper in a mixed collection.
Who produces the catalogue metadata?
It depends on the collection and on how much subject expertise it requires. Structural and technical metadata is produced during capture. Descriptive cataloguing should follow whatever standard the institution already uses, and is often best done by, or alongside, its own curatorial staff. For Arabic collections, description usually needs to exist in both Arabic and English to be usable.
Can the work be done inside our building?
Yes, and for irreplaceable material it is usually the right answer. Cradle scanners, copy stands and controlled lighting are installed in a working area the institution provides, with the environmental conditions the material requires. Mobilisation takes longer, and it removes transport, which is the single largest risk in a heritage project.
