An engineering practice accumulates a record with a much longer useful life than the projects that generated it. Calculations and vendor data, the half that gets skipped
Drawing archives get digitised. Calculation files and vendor data books usually do not, because they are bound, unglamorous and harder to index. They are also where the reasoning lives. A drawing shows what was built. The calculation sheet shows why that section, that grade and that factor, and the vendor data book shows what was actually supplied against what was specified. When an asset is being uprated, extended or assessed for life extension decades later, the drawing alone will not answer the question. The asset question versus the project question
Consultancies file by project. Owner-operators ask by asset. It is a small addition at capture and effectively impossible to retrofit later.
Proving what was issued
A design record has an evidential role. If a question arises about what the practice issued, when, and to whom, the archive has to answer it without argument. That means capturing the issue stamp and signature boxes legibly, retaining superseded revisions rather than tidying them away, keeping transmittal records alongside the drawings they cover, and logging any re-issue from the digital archive. None of that is technically difficult. It is simply a set of decisions that has to be made before capture starts rather than after a dispute begins. The practices that handle this well tend to be the ones that treated their archive as a professional record from the outset, rather than as storage that happened to accumulate.
