Document digitization services in the UAE are usually bought for one of two reasons: someone needs to find a specific document quickly and cannot, or a lease, an audit or a system migration has put a deadline on a room full of paper. Both situations end in the same set of practical questions. Where will the records physically go, who touches them, how long will your team be without them, and what does the output actually look like when it lands in your system.
One facility, seven emirates of coverage
Our UAE offices are in Dubai and Abu Dhabi. Preparation, capture, OCR, indexing, quality control and delivery are planned through these offices unless a project calls for the work to happen inside your own building. Every other emirate is a service area covered through scheduled collection or on-site teams.
This is worth stating plainly because the sector is not always plain about it. Suppliers routinely publish an address in every emirate and then run everything out of a single warehouse anyway. When your records include HR files, patient notes, title documents or board papers, you are entitled to know exactly which building they will sit in and how they get there.
On site or off site: how the decision usually gets made
Off-site scanning is faster and costs less per page, because a fixed production line with calibrated scanners will always outrun a temporary setup in a meeting room. On-site scanning exists for the cases where speed is not the deciding factor.

Plenty of projects end up as a mix. A common shape is on-site capture for the current year of live files, with the historical backfile collected and processed off site while your team carries on working.
How a nationwide rollout is sequenced

Survey and sample
We look at the actual records, not a description of them. Box counts, document sizes, staple and binding density, condition, and whether the existing filing order can be trusted.

Pilot one site
A single site or a single record series goes through end to end. This is where index fields, file naming, folder structure and output format get argued about and settled, while the cost of changing them is still low.

Agree the schedule
Collection windows are set per emirate. Sites nearer the facility can run on frequent small pickups; sites further out are usually consolidated into fewer, larger runs.

Roll out site by site
Each subsequent site inherits the settled specification. Deviations are handled as exceptions rather than renegotiations.

Deliver and reconcile
Digital files are delivered to your system or on encrypted media, and reconciled against the original box and file counts before anything is returned, stored or destroyed on your written instruction.
Arabic and English records
UAE record sets are rarely monolingual. A single HR file can carry an Arabic labour contract, an English offer letter and a bilingual government form. We process both languages, including right-to-left text and mixed-direction pages. OCR quality on Arabic depends heavily on the source: clean printed text behaves well, faded carbon copies and handwritten annotations do not, and we would rather tell you that during the sample than after the invoice.

Frequently asked questions
Do you have offices in every emirate?
No. We have offices in Dubai and Abu Dhabi. The other emirates are service areas covered by scheduled collection or by an on-site scanning team working inside your building. We publish physical addresses only for offices we occupy.
Can our records be scanned without leaving our premises?
Yes. On-site scanning is available in any emirate. We bring the scanners, capture software and operators, work inside a space you allocate, and the physical files never leave your control. It is the standard answer where records are regulated, contractually location-bound or still in daily use.
How are records transported between emirates?
In sealed, numbered containers on a scheduled run, against a signed manifest at both ends. Boxes are logged out and logged back in, so at any point in the project you can be told which container a given file is in. Nothing moves without a written collection instruction.
How long will our team be without the files?
That depends on the batch size you are comfortable with. Most clients prefer smaller, more frequent batches so that no more than a fraction of the archive is out of the building at once. If a document is urgently needed mid-project, it can be scanned and sent back ahead of its batch.
Do you handle Arabic documents?
Yes. Arabic and English records are both processed, including bilingual forms and mixed-direction pages. Achievable OCR quality varies with the source material, so we assess it on a sample from your own files rather than quoting a headline accuracy figure that may not survive contact with faded or handwritten pages.
What happens to the paper after scanning?
Whatever you instruct in writing. Records can be returned to you in their original order, boxed and returned for storage, or securely destroyed with a certificate. We do not destroy anything by default, and nothing is destroyed before the digital output has been checked and accepted.
