It covers enquiries submitted through our quote form, including any sample document you choose to upload, and the analytics cookies that load only if you accept them.

In this policy, “we”, “us” and “our” mean Athena Global Technologies LLC operating under the Document Digitization Services brand, and “you” means anyone who visits this website or contacts us through it.

What this policy covers
This policy covers the website at https://documentdigitizationservices.com and the enquiries you send us through it. It does not cover the documents and records we process on your behalf once a digitization project begins. That work is governed by the separate services agreement, confidentiality agreement and any data processing terms signed between your organisation and us, which take precedence over this policy for project material.
This website is aimed at organisations rather than consumers. It is not directed at children, and we do not knowingly collect information about anyone under 18 through it.
Information we collect
Information you give us
Our quote form is the only place on this site where you are asked for personal information. If you complete it, we collect:
- your full name;
- your company or organisation;
- your work email address;
- your phone number;
- the emirate or country you are enquiring from;
- the details you give about the project: estimated volume, document type, service required, on-site or off-site preference, current storage format, desired output format, whether you need integration with a document management system, and your required completion date;
- any security or compliance requirements you describe, and anything you write in the free-text comments box;
- a sample document, if you choose to upload one. The upload is entirely optional, is limited to 8 MB, and accepts PDF, JPG, PNG and TIFF files only.
Please do not upload confidential or sensitive documents at enquiry stage. A sample only needs to show us the layout, condition and typical content of a page. If a genuine record is the only useful example, redact personal details first, or wait until a confidentiality agreement is in place and send it through the secure channel we agree with you.
You may also contact us by email, phone or WhatsApp. If you do, we hold whatever you choose to tell us in that message.
Information collected automatically when you submit the form
When a form is submitted, our server records the IP address it came from, the page you were on when you submitted, the page that referred you to the site, and the date and time. The IP address is used to apply a submission rate limit that blocks automated abuse, and the page details tell us which parts of the site generate genuine enquiries.
Information collected by analytics
We use analytics tools to understand how the site is used. They do not run until you click “Accept analytics” on the consent banner. If you decline, or simply ignore the banner, no analytics tags load at all and no analytics cookies are set. The only cookie set without your permission is the one that records your consent choice. Why we use your information
Framed plainly, and without reference to any particular statute, our reasons are:
- Because you asked us to. You submitted an enquiry and ticked the box confirming your details may be used to respond to it. We use them to answer you, ask follow-up questions, scope the work and prepare a written quotation. You can withdraw that agreement at any time.
- Because it is necessary to deal with you as a customer. If your enquiry becomes a project, we need your contact details to negotiate, deliver and invoice the work.
- Because we have a legitimate business interest. Keeping the site secure, blocking automated form abuse, keeping a record of what was quoted to whom, and understanding which pages produce enquiries are all reasonable interests of running the business. We balance them against your interests and use the least intrusive method that works.
- Because you consented. Analytics cookies are set only where you have given permission, and only for as long as that permission stands.
- Because the law requires it. Accounting, tax and regulatory records must be kept and produced when lawfully requested.
We do not use your information for automated decision-making, and we do not build marketing profiles from it. We will not add you to a marketing mailing list on the strength of a quote request alone.
How long we keep it
We keep information only as long as there is a reason to, then delete it. Our current retention periods are:

Who we share it with
We share your information with:
- Athena Global Technologies LLC. Document Digitization Services is a division of the parent company rather than a separate legal entity, so enquiries are handled by parent-company colleagues — sales, technical scoping, operations and finance — on a need-to-know basis.
- Our delivery centre in India. Technical scoping and production planning may involve colleagues at our Navi Mumbai delivery centre. See the international transfers section below.
- Our hosting provider. This website and the form handler run on infrastructure operated by [CONFIRM: hosting provider name and country of hosting], which necessarily processes data passing through the site.
- Email delivery. Enquiries reach us as email. Depending on configuration, that mail is relayed by [CONFIRM: mail provider or relay used for enquiry and acknowledgement email]. An automatic acknowledgement is also sent to the address you gave us.
- Analytics providers — Google and Microsoft — but only if you accepted analytics cookies.

We do not sell your personal information, we do not rent or trade contact lists, and we do not share your details with advertising networks for their own purposes.
International transfers
This is material, so we state it plainly. We operate a delivery centre in India, at 503, 5th Floor, Plot No 273, Zion Tower, Sector 10, Kharghar, Navi Mumbai, Maharashtra 410210. Enquiry information may be accessible to colleagues there for technical scoping and production planning, which means your information can be transferred outside the United Arab Emirates. Our analytics providers and hosting provider may also process data outside the UAE.
Where information moves between our UAE and India operations, it is handled under internal group arrangements covering confidentiality and access control: [CONFIRM: intra-group data transfer arrangement or agreement in place]. How we protect it
The measures below describe what we actually do on this website. We make no certification claim of any kind here.
- The site is served over an encrypted HTTPS connection.
- The form applies validation, a hidden anti-spam field and a per-address submission rate limit, so scripted abuse does not fill our systems with junk containing real enquiries.
- Uploaded samples are checked by file type, stored under a randomly generated filename rather than the name you gave the file, and written with restricted file permissions.
- Access to enquiry mail and stored samples is limited to the colleagues who need it to respond to you.

No website, email system or transmission over the internet is completely secure. We cannot guarantee absolute security, which is exactly why the form asks you not to send confidential material before a project and a confidentiality agreement are in place.
Your choices and your rights
You can ask us to do any of the following in relation to the personal information we hold about you:
- See it. Ask what we hold about you and get a copy of it.
- Correct it. Have anything inaccurate or incomplete fixed.
- Delete it. Ask us to erase it, including any sample file you uploaded. We will do so unless we are required to keep it — for example, where it forms part of an accounting record.
- Object or restrict. Object to a particular use, or ask us to pause using it while a question is resolved.
- Withdraw your agreement. Tell us to stop contacting you about an enquiry, or withdraw analytics consent at any time through the cookie controls described in our cookie policy. Withdrawing does not undo what was lawfully done beforehand.
Ask by email using the contact details below. We may need to check your identity before acting, so that we do not disclose one person’s information to another.
