Legal document scanning UAE is not a volume business. A commercial litigation file might run to a few boxes, and any page in it can turn out to matter: a handwritten margin note, an initialled amendment, the page that proves service. The handling standard is therefore set by the most sensitive item in the box rather than by the average one, which is a different discipline from clearing a warehouse of old invoices.
Chain of custody, written down
Custody is a paperwork discipline before it is a security one. Files are inventoried at collection to an itemised manifest, box by box and file by file, and both sides sign it. After that, every movement is recorded: who took possession, when, and what the container held. The same manifest reconciles the return. If a file was pulled out of sequence mid-project because your team needed it, that appears on the record too.
Where a file cannot leave your premises at all, and for some categories it should not, scanning runs on site. That is slower and costs more. For privileged, sealed or client-restricted material it is frequently the correct answer anyway, and it is better to design for it at the start than to discover it halfway through a collection.
Preparing a legal file without damaging it
Preparation is where legal work parts company with ordinary bulk scanning. Staples and clips come out. Tabs, dividers and the assembled order of a bundle are recorded first, because the structure of a bundle carries meaning. Torn pages are repaired rather than forced through a feeder. Wet-ink signature pages, attested and notarised documents, anything with an embossed seal, and fragile originals are captured flat instead of on a rolling feed.
Nothing is trimmed, deskewed or auto-cropped so enthusiastically that a margin annotation disappears. Corrections stop at the point where the page is readable. An image that no longer looks like the original document has stopped being evidence of the original document.
Evidential integrity
- Page counts reconciled per file, with a scan register showing what was imaged and in what order.
- Original sequence preserved. Nothing is reordered to make a batch tidier.
- Pre-existing damage, missing pages and illegible originals recorded as found, not quietly repaired in software.
- Double-sided pages captured on both sides even when the reverse looks blank. A blank reverse is itself a fact about the document.
- Automatic blank-page removal switched off by default on legal work.
- Checksums issued with delivery, so the set you hold can be shown to be the set that was produced.
Redaction that actually redacts
A black rectangle drawn over a name in a PDF viewer hides nothing. The text underneath stays selectable, searchable and recoverable by anyone who thinks to try, and that failure has embarrassed serious organisations. Where redaction is required, the marked region is removed from the image itself and the corresponding text is stripped from the searchable layer. The redacted version is produced as a separate deliverable so the complete original stays intact on file.
Redaction decisions belong to you. We apply the rules your legal team defines, against the categories they specify, and anything ambiguous is flagged back rather than guessed at.
Indexing a case file
Legal indexing is not general document indexing. A fee earner searches on matter number, client, counterparty, document type, date and, in litigation, the exhibit or bundle reference. Contracts want more: parties, execution date, term, and renewal or expiry dates lifted out into fields, because those are precisely the dates that get missed while the contract register lives in one person's memory.
Arabic and English both appear in UAE legal files, often inside the same document, with an Arabic column that governs. Both scripts are captured and made searchable. The Arabic side is not treated as decoration around the English text.
Who touches the file
Access is need-to-know. A legal project runs with a named, closed team under signed non-disclosure, and your side knows who those people are. Privileged material does not sit in a general processing queue. If your engagement terms or a client mandate require specific undertakings from everyone handling the file, they are signed before collection rather than negotiated once the boxes have moved.
Where legal projects usually start
- The closed-matter archive. Largest volume, lowest retrieval pressure, and the batch that frees the storage room paying for the project.
- The contract register. Smaller, but the extracted renewal and expiry dates change how the business operates almost immediately.
- A single live bundle before a hearing, run to a deadline, where speed and pagination discipline matter more than volume.
- A property or title file set, usually driven by a transaction or a portfolio transfer.

Will scanning break privilege or confidentiality?
Handling privileged material through a third party is a question for your own risk assessment, not ours to answer for you. What we control is access: a named, closed team under signed non-disclosure, no general processing pool, recorded custody at every hand-off, and on-site working where files must not leave your premises. Bring your client undertakings to scoping and they become processing rules.
Can you scan a court bundle without losing its structure?
Yes. Tab positions, dividers, section breaks and pagination are recorded before the bundle is disassembled, then reconstructed in the digital copy with bookmarks matching the physical index. Original order is never changed for processing convenience. If the bundle must be reassembled physically afterwards, that is agreed in advance so preparation is reversible.
How is redaction done properly?
The redacted region is removed from the image and the underlying text is stripped from the searchable layer, so nothing survives to be selected, searched or recovered. A covering black box in a PDF viewer does none of that. The redacted file is delivered as a separate version, leaving your unredacted master complete for the file.
Do you handle Arabic legal documents?
Yes. Arabic and English are both captured and made text-searchable, including bilingual contracts where parallel columns run down the same page. We do not publish an accuracy figure for Arabic recognition, because handwriting, stamps and poor photocopies affect it far more than the language does. Sample testing on your own documents gives a realistic expectation before committing.
Can scanning be done at our offices?
Yes, and for restricted categories it is the sensible model. Equipment and a supervised team work from a room you provide, files never leave the building, and your staff can retrieve anything mid-process. It is slower and more expensive per page than working at our facility, so it is usually applied to the sensitive subset rather than the whole archive.
What proof do we get that every page was captured?
A scan register per file, showing page counts reconciled against what was imaged and in what order, plus notes on anything found damaged, missing or illegible. Collection and return are reconciled against the signed manifest. Delivery includes checksums, so the set you hold can be demonstrated to be the set that left our control.
