A drawing archive is not a document archive with bigger paper. The originals are older, more fragile and more varied, the content is linework rather than prose, the index lives entirely in a title block, and the same drawing number exists in six revisions that look nearly identical. Every one of those facts changes how the project runs.
Know what you are holding before you unroll it
Drawing stores accumulate over decades, and the media in them span several reproduction technologies. Identifying the medium determines the capture route, because feeding the wrong original through a roll scanner is how an irreplaceable sheet is destroyed.

Rolled sheets need relaxing before they can be fed or laid flat, and the only safe method is time. Unroll in a stable environment, weight the corners with soft weights, and let the set curl release over hours. Forcing a rolled drawing flat cracks the emulsion on diazo prints and splits aged tracing paper along the roll axis. Folded sheets need the reverse attention: the folds have usually cracked, and ink or toner has often lifted along the crease, so the loss is already present in the original and needs recording rather than fixing.
Resolution is set by the smallest feature, not the sheet size
The instinct is to relate resolution to paper size. The correct driver is the smallest thing on the sheet that someone will need to read: dimension text on a reduced print, a hatch pattern, a bubble reference, a note in the margin. A bold title block is legible at any sensible setting. The 2 mm annotation next to a valve is not.
- Find the worst sheet in the batch, meaning the one with the smallest text and the faintest lines, not the most damaged one.
- Capture it at several resolutions in a single test session, with all other settings identical.
- Open each at one hundred per cent and read the smallest annotation. Not squint at it. Read it. Then have somebody who works with these drawings do the same, because they know which annotations matter.
- Set the batch at the lowest resolution where the annotation is comfortably legible, then confirm the file size is acceptable at that setting on a full sheet.
- Re-run the test when the batch changes character. Structural drawings and P&IDs from the same project can have very different annotation densities.
The size consequence is worth understanding before the decision is made. Pixel count scales with the square of resolution, so doubling the setting quadruples the file. An A0 sheet is eight times the area of A3, so it is already carrying eight times the pixels at the same resolution. On a large drawing archive, a careless resolution decision multiplies storage and transfer time by an order of magnitude for no retrieval benefit. A careless decision in the other direction makes the annotations unreadable and cannot be undone without re-scanning.
Colour, greyscale or bitonal
Bitonal capture produces very small files and is genuinely appropriate for clean, high-contrast black-line prints. It also throws away everything that is not clearly black, which on a drawing archive means faint pencil, faded diazo lines, background tone and every coloured mark-up on the sheet.
A simple test settles most cases. If anyone has ever asked what the red line on a drawing means, that class must be captured in colour. Red-line as-built revisions, colour-coded services on mechanical and electrical drawings, highlighted zones and coloured approval stamps all carry information that a greyscale conversion silently deletes. Greyscale is the sensible default for faded monochrome originals, because it preserves faint linework that thresholding would remove, at a fraction of the size of colour.
For diazo and dyeline originals, capture in colour or greyscale and apply background suppression during processing rather than thresholding at the scanner. Suppression lifts the coloured ground while leaving pale line content intact. Thresholding decides, once and irreversibly, that a faint line was background.
Processing settings that quietly damage drawings
- Despeckle removes isolated small marks. On a drawing, isolated small marks include the dots in a dashed centre line, hatch stippling, and the dots on any Arabic annotation. Use it sparingly, and inspect a hatched region at full zoom afterwards.
- Sharpening thickens lines. On a drawing with closely spaced parallel lines, thickening merges them into a single line and destroys the geometry the drawing exists to convey.
- Auto-crop must not clip the drawing frame. The border, title block and any scale bar are part of the content, and the frame defines the sheet extents that a downstream user needs to interpret the drawing.
- Deskew matters more here than on text pages. A skewed drawing makes rotated dimension text hard to read and defeats any later attempt at zonal recognition or vectorisation. Deskew by the drawing frame rather than by detected text lines.
- Never stretch a scan non-uniformly to fit a target size. Scaled drawings depend on proportional accuracy. Record the capture resolution in the image file so real-world dimensions can be computed later, and keep the printed scale bar visible as the fallback reference.
- Do not stitch two overlapping passes without checking the seam through the linework. A seam that lands on a dimension line is visible immediately to any engineer opening the file.
The title block is the index
Almost everything anyone will ever search by is printed in one corner of the sheet. Getting those fields right is the difference between an archive and a folder of large pictures.
- Drawing number, captured as a structured value rather than free text. Drawing numbers are codes with meaning in their segments: project, discipline, zone, sheet type, sequence. Parse them and validate against the pattern, because a single transposed character makes a drawing unfindable in an archive where every number looks similar.
- Sheet number and total sheets, so an incomplete set is visible as incomplete.
- Revision, as its own field. This is the field most often folded into the drawing number, and doing so is the root cause of most drawing-archive failures.
- Title, discipline, project or contract number, and originator or consultant.
- Status, such as issued for approval, issued for construction, or as-built. Status and revision together are what tell a user whether they are looking at something they may build from.
- Scale and sheet size as recorded on the sheet, plus the actual capture resolution as recorded by the scanner. The two together allow dimensional interpretation.
- Date of issue, and where the sheet carries one, the date of the revision.
Automated recognition of a title block is worth doing and is not worth trusting unverified. Zonal recognition restricted to the title-block region performs far better than running recognition across a whole sheet, because a drawing is annotation rather than prose and full-sheet output is largely noise, with vertical dimension text confusing the engine further. Title-block layouts differ by originator and by sheet size, so a zone template per originator plus human verification of the drawing number and revision is the pattern that works. Those two fields carry the retrieval weight and deserve the verification budget.
Revision control is the hard part
A drawing store holds many revisions of the same drawing number, and the sheets look nearly identical. Decide the model before capture, because it is expensive to impose afterwards.
- Decide whether all revisions are captured or only the latest. Capturing all is the safer default for as-built and dispute purposes. Capturing latest only is cheaper and is a decision the business must make explicitly, in writing, understanding what is being discarded.
- Never let revision be part of the file identity alone. Index revision as a separate field so a list can be filtered and sorted by it.
- Mark exactly one revision per drawing number as current, and hold the relationship to the revisions it supersedes. Without a current flag, users open whichever file sorts first, and on a construction programme that is a genuine safety issue rather than an inconvenience.
- Watch for as-built mark-ups applied to a superseded revision. They are common and they are valuable, and a naive latest-only rule discards them.
- Expect drawings that carry no revision marking at all. They need a documented rule rather than an operator judgement made differently every time.
Outputs, and the CAD question
For most archives the right deliverable is a raster image in a preservation-grade format, wrapped as PDF for distribution, with the resolution tags intact. That is faithful, stable and cheap to store.
The question that follows is whether drawings can be converted to CAD. It is worth being precise about what automatic raster-to-vector conversion produces. It traces the pixels and yields geometry: polylines and arcs that follow the ink. It does not recover the intelligence of a CAD file. Layers, blocks, dimension objects that update, text styles and any parametric relationship never existed in the raster and cannot be inferred from it. Text either passes through recognition, with the same error profile as any other recognition, or arrives as meaningless line work. A converted file looks like a CAD drawing and behaves like a tracing.
Three honest options exist. Keep the raster, which is right for archival and reference use, which is most drawings. Use a hybrid approach, inserting the raster as an underlay in a CAD file so new work is drawn over the scan, which is cheap and genuinely useful for modest changes. Or commission a manual redraw, which is the only route to a properly structured, editable model and is priced as drafting work per sheet rather than as scanning. Decide per drawing class, based on which sheets will actually be modified, not on the whole archive at once.
